Reserve Tents | Terms & Conditions - Iowa State Athletics

This Terms and Conditions document is an Agreement entered into between Iowa State University Athletic Department ("ISU") and the purchaser of a Cyclone Gameday Hospitality Reserve Tent, hereafter referred to as "Organization." These Terms and Conditions are applicable to all Reserve Tent purchases and govern the use of tent facilities located outside of MidAmerican Energy Field at Jack Trice Stadium on the Iowa State University campus.

Reserve Tents are available on a single-game basis only for the 2026 season.

Tent in the size purchased (20'×30', 40'×40', 40'×60', or 40'×100')
Banquet and/or round tables and chairs in a standardized, turn-key layout
Two (2) parking passes for use by the Organization
One (1) vendor parking pass for use by a catering vehicle
Two (2) trash cans — ISU will handle trash pickup at the conclusion of the event
Tent sign identifying the Organization

Reserve Tent purchasers will be able to view and select their exact tent location based on their desired size during the purchase process. Locations are available on a first-come, first-served basis.

Food and beverage are not included — Organization is responsible for arranging its own catering
All food and beverage must comply with Iowa Health Department standards and regulations
One (1) vendor parking pass is provided for a catering vehicle — vendor pass does not provide access to a standard parking stall
Catering space is limited to 30 total feet (truck, trailer, grill) — all trailers must remain hitched to a vehicle
Only one catering vehicle is permitted — once parked, the vehicle should remain until after kickoff
A cash bar is not permitted without prior written approval from ISU — contact ISU Office of Risk Management at (515) 294-7711 or orm@iastate.edu

Electrical outlets — generators are permitted; speakers must face inward and be considerate of surrounding guests
Additional tables, chairs, or portable restrooms beyond what is included
Custom tent layouts or alternate furnishing arrangements — all setups are standardized turn-key configurations

All use of alcoholic beverages must comply with Iowa law
No beverages may be served in individual glass containers
Beer may be provided in kegs or cans only — glass beer bottles are not permitted
Organization is responsible for monitoring and preventing consumption of alcoholic beverages by minors
Organization assumes all liability associated with serving and use of alcoholic beverages

Payment is due in full at the time of purchase and serves as a non-refundable deposit
This agreement may not be assigned, sublet, or transferred without prior written consent from ISU
ISU reserves the right to cancel with at least 24-hour notice to accommodate a university event or conflicting activity — a full refund will be issued in such cases
In the event of game cancellation or postponement due to weather, emergency, or other force majeure circumstances, ISU has sole discretion to cancel or postpone and/or issue a refund

Listed prices include all service fees. Applicable taxes will be added at the time of purchase.

Organization is responsible for cleanup of any waste or mess directly resulting from its activities
All trash must be placed in the two provided trash cans — if additional trash is generated, Organization must arrange removal with ISU and pay any associated fees
Upon vacating, the tent and surrounding area must be returned to its original condition
Organization is liable for all damages, losses, and repairs resulting from its use of the tent and surrounding area

No firearms, weapons, fireworks, explosives, or highly flammable materials
No open fires
No illegal narcotics or drugs
No gambling or solicitation in any form
No promotions, giveaways, product sampling, or direct sales on-site
No animals, except when required to assist disabled persons
Organization shall adhere to all ISU policies, NCAA rules, and all local, state, and federal laws — failure to comply may result in removal from ISU premises
Organization shall not discriminate based on race, color, age, religion, national origin, sexual orientation, sex, marital status, disability, or veteran status

Tent access begins four (4) hours prior to kickoff and concludes two (2) hours after the game or 10:00 PM, whichever is later
Kickoff times are subject to change — Organization understands and accepts this
Illegally parked vehicles will be towed without warning at the owner's expense
Trailers are prohibited in standard parking lots and stalls
Organization is responsible for participant and equipment transportation to and from the tent

For charter bus parking inquiries, contact Brian Honnold, Assistant Athletics Director of Facilities and Events, at (515) 294-5527 or bhonnold@iastate.edu at least two days prior to the game. Charter bus parking is $50 (cash only) and available on a first-come, first-served basis.

Organization assumes any and all risk of loss, damage, or liability which its officers, agents, employees, or invitees may sustain while using Iowa State University Athletic Department facilities and resources. Organization agrees to defend, indemnify, release, protect, and hold harmless Iowa State University, the Board of Regents (State of Iowa), and the State of Iowa and their officers, agents, servants, and employees from and against any and all actions, claims, demands, or liabilities for loss, damage, injury, cost, or expense of whatever kind or nature.

ISU assumes no liability for any property placed by Organization or event participants in university buildings, tents, or facilities.

This Agreement shall be governed by and construed under the laws of the State of Iowa.
